Most firms make you book a call to hear a number. Both bookkeeping formulas are on this page, with the arithmetic shown, so you can price your own books before you ever contact me. The estimate you receive uses this same math.
$150 per month covers up to 50 transactions and 2 connected accounts. Past that, add $50 per block of 50 transactions and $25 per additional account. Your tier multiplies that base.
| Tier | What it's for | Includes | Response time | Price |
|---|---|---|---|---|
| Basic | Compliance | Categorization, bank reconciliation, monthly P&L and balance sheet | Email, 48 hours | Base × 1.0 |
| Standard | Management | Basic plus bill pay, invoicing, sales tax filings, annual 1099s, quarterly strategy session | Email + text, 24 hours | Base × 1.5 |
| Premium | Advisory | Standard plus budgets vs. actuals, KPI dashboards, monthly 60-minute advisory session | Priority text, same business day | Base × 2.5 |
Worked example
A business with 150 monthly transactions across 4 accounts: $150 base, plus $100 for the extra transaction volume, plus $50 for the extra accounts, comes to $300 before the tier multiplier. That's $300 on Basic, $450 on Standard, $750 on Premium. QuickBooks Online subscription is separate and stays in your name.
Cleanup is a project, not a subscription. It is priced per transaction and built up in four steps, all of them published.
| Step | What it adds | Amount |
|---|---|---|
| Base rate | Every transaction in the backlog | $0.50 each |
| Complexity | Personal and business spending mixed in one account +$0.25 · bank provides PDF statements only +$0.15 · frequent unlabeled transfers or checks +$0.10 · inventory or job costing +$0.25 | capped at $1.00 |
| Discovery | One-time review of the books before scoping | $250 flat |
| Age | Each full year the books are behind | +10% of the project |
Worked example
A two-year backlog of about 2,000 transactions with commingled spending and PDF-only bank statements: $0.90 per transaction, plus the $250 discovery fee, plus 20% for two full years behind, comes to roughly $2,460. Itemized in writing before any work begins.
The cleanup guide goes further: three worked examples at different sizes, what makes a quote cheaper, and the honest threshold for when doing it yourself is the better call.
Bookkeeping and cleanup are formula-priced because the inputs are countable: transactions, accounts, months behind. Project management, Confluence work, and website builds are scoped per engagement instead, because no honest formula fits them. Those are quoted after a conversation, in writing, before anything starts.
Talk through a project →Because a formula you can check yourself is harder to game than a number produced on a call. Price your own books above, then compare it to the estimate you receive. They use the same arithmetic.
The formula is fixed and the inputs are yours. If the books turn out materially different from what was described at intake, the estimate is re-run with corrected inputs and shown to you before work continues. Nothing changes mid-project without a revised estimate.
No. The same formula applies in Henderson, Las Vegas, elsewhere in Nevada, or remote. The work runs on QuickBooks Online, so location does not change the math. Local bookkeeping details are here if you want them.
No. QuickBooks Online is billed by Intuit directly and stays in your name, so the file is yours and leaves with you if we ever part ways.
The intake form takes about five minutes and returns an itemized estimate within one business day, built from the formulas on this page.
